Case study — operator anonymised at their request
A 200+ property towing operator, off the phones in one season
This is the operation AutoTowing was built inside. They asked us to keep their name and their numbers private — everything here is their real workflow, described without identifying them or their properties.
Before
Permit chaos, handled by whoever answered
Registrations by phone call
Guests called the office or the property to register a plate. Every call was a person, a note, and a chance to lose the record.
Spreadsheets per property
Hundreds of properties, each with its own sheet, each with its own idea of what the rules were and who was allowed to break them.
Enforcement by memory
Whether a plate was over its limit, banned, or on a third consecutive stay depended on whether someone remembered.
Property managers in the dark
Managers had no way to see their own lot, so every question turned into a phone call to the operator.
The rollout
One property first, then the portfolio
Nobody migrated hundreds of lots on day one. A single property went live, the rules were tuned against real disputes, and the rest followed once the pattern held.
- 01Branding, contact details and sending domain configured in the setup wizard.
- 02Permit rules encoded per property — caps, guest durations, consecutive-stay limits.
- 03Self-registration opened to residents and guests; the phone line stopped being the intake.
- 04Property manager accounts issued, each scoped to their own properties only.
- 05Tow notices, expiring-soon warnings and lien notices moved onto tracked delivery.
- 06Reporting turned on, and renewal conversations started using the operator's own numbers.
After
What actually changed
- 200+
- Properties running on one system
- 45,000+
- Permits of history in the system
- Self-serve
- Permit registration replaced inbound phone calls
- Every action
- Timestamped and defensible in a dispute
Disputes got shorter
A contested tow stopped being one person's word against another's. The permit history, the denial reason and the notice log answer it.
The record held up in court
Vehicle history exports — every permit, denial and notice with timestamps — have been used as evidence in legal action. The paperwork argument ended.
Managers stopped calling
The portal answered the questions the phone used to. A public guest status page lets drivers check their own vehicle instead of calling anyone.
Rules got fairer
The default rule became consecutive-day limits applied identically to everyone — no more decisions depending on who answered the phone.
Notices stopped vanishing
Thousands of queued notices moved onto monitored, tracked delivery. A bounced tow notice is now visible in a dashboard instead of invisible until the dispute.
Growth stopped hurting
Adding a property became a setup step instead of another spreadsheet and another set of rules to remember.
Their system, your brand
AutoTowing is that operation packaged so any towing company or property group can run it as their own.
